Job Title: Administrative Assistant

Location: Hulme, Manchester

Salary: £16,000 per annum

Job Type: Full time, Permanent (37 hours per week)

The College is located in Hulme a mile south of the centre of Manchester and very close to Manchester University and Manchester Metropolitan University, with excellent transport links. It is one of the largest Sixth Form Colleges in the country and rated as Outstanding at the last Ofsted Inspection.

They are seeking a reliable and suitably experienced individual for the role of Administrative Officer to provide administrative support to members of the College Management Team and others.

Main Duties and Responsibilities:

  • To provide a range of administrative functions including:
    • Answering and directing telephone calls
    • Assisting with and producing (where applicable) mail merge letters, PowerPoint presentations and spreadsheet tasks
    • Inputting data
    • Collection / preparation of materials required for College events and roadshows
  • To be conversant with the College database and to operate this when required to keep student records updated
  • To priorities and allocate in the most efficient and effective way, all incoming work with a flexibility and readiness to undertake a wide range of tasks
  • To further develop an efficient administrative support system, utilising available IT systems
  • To assist with evening/weekend activities and functions and other College events as required
  • To work as an effective member of the whole College Administration Team
  • To carry out such other duties as may reasonably be allocated by the Principal, or designated alternate or the Office Manager to enhance the work of the College
  • To actively participate in and deliver their contribution to the team, covering for other Administrative Assistants where appropriate
  • To become familiar with the services provided by the office in order to be able to deal with both internal and external enquiries and requests for information

Staffing

  • To undertake staff development where appropriate
  • To take part in the College’s Appraisal Process
  • To ensure that appropriate arrangements for cover are made when absent
  • To work as part of a team and to ensure effective working relations

Quality Assurance

  • To ensure the effective operation of quality assurance systems
  • To contribute to the process of the setting of targets within the department and to work towards their achievement
  • To assist with the implementation of College quality procedures, especially through contribution to the self-assessment process

Communications

  • To ensure familiarity with the department’s aims and objectives
  • To liaise with relevant external bodies as appropriate

Marketing and Liaison

  • To contribute to the College liaison and marketing activities
  • To link with external agencies as appropriate

Management of Resources

  • To contribute to the maintenance of an attractive working environment in the College office

The successful Candidate will have/ be:

  • Experience in an administrative role
  • Proficiency in working with standard office applications such as MS Word, Excel and Outlook
  • Excellent organisational and administrative skills
  • Ability to prioritise and multitask
  • Ability to manage own workload
  • Ability to meet deadlines
  • Willing to adapt to changing priorities
  • Excellent telephone manner
  • The ability to maintain quality and organisational procedures for the efficient running of the College office
  • The ability to recognise and appreciate the confidential nature of some work undertaken
  • Excellent attention to detail
  • Ability to empathise with 16-19 year olds within a college situation
  • High level of literacy/communication skills
  • Evidence of commitment to Continuous Professional Development
  • Positive and Enthusiastic
  • Flexibility and a readiness to undertake a wide range of tasks
  • Smart in appearance and manner
  • Ability to work outside normal office hours on occasions
