Job Title: Compliance Officer

Job role

The purpose of this role is to co-ordinate effective health and safety systems within the company, and ensure that LRQA and company systems and documents are compliant with legislation

Key Objectives

  • Co-ordinate health and safety adherence within the company
  • Maintain suitable policies and procedures in compliance with statutory requirements, updated as legislation changes
  • Co-ordinate effective provision of information and training to the workforce in health and safety related matters

Accountabilities

Health and Safety

  • Production of new engineer document packs relating to health and safety
  • Book training and health and safety related courses. Compile, maintain and update training records.
    • Review Health and Safety documentation (risk assessments and method statements included) in liaison with external company who act as Competent Person
    • Communicate to the Management any additional requirements such as RAs and MSs for any new products
    • Update central records and company electronic libraries, maintain with latest versions of information
  • Update relevant management and staff of any significant information and developments relating to health and safety, accreditation, audit and training
  • Ensure staff are aware of the existence of and updates to health and safety procedures and processes
  • Contribute to tender documents and supplier/sub-contractor forms on the health and safety aspect including management processes/procedures and accident statistics
  • Maintain the health and safety policy including co-ordination of annual review, update, and re-issue
  • Review updates to legislation and liaise with management team for implementation
  • Introduce new control measures as required
  • Co-ordinate adherence to HSE requirements (including RIDDOR and COSHH)
  • Co-ordinate adherence to driving policy in regards to company vehicle checks
  • Committee meeting action points and follow up. Take and distribute meeting notes
  • Co-ordination of accident and near miss investigation and follow up
  • Log issue of PPE and relevant expiry dates
  • Ensure new/additional products are included in all assessments eg manual handling

Accreditation

  • Supplier approval – ensure issuing and retention of forms and public liability certificates, updating approved supplier list (annually chasing for renewal insurance certificates, re-assessment of all every three years)
  • CHAS, Safe Contractor, Altius and Construction line annually – provision of all processes, procedures and information for audit by external assessor
  • Working to accreditation procedures as laid out in the TGE manuals
  • Procedure/Quality manuals, updates and controls
  • Understand company workings, contribute to improvements and changing company procedures
  • Maintenance of the accreditation system, including management of audit visits
  • Action non-compliances from internal audits
  • Update and monitor customer complaints system
  • Update and monitor new product progress system
  • Corrective actions monthly meetings, compile paperwork for meeting and complete minutes
  • Three-monthly management review meetings, compile paperwork for meeting/type minutes
  • Maintenance of company health and safety forms, manuals, and procedures as required
  • Record and monitor non-conformance information

Other

  • Fire risk assessment and emergency evacuation plan reviewed and updated annually
  • Print and compile equipment manuals and training materials as required
  • Process vehicle/employee audit sheets. Scan sheets and update spreadsheets, highlight items for review, resolve minor issues where possible (Form F433-9 refers)
  • Update TGE organisational charts
  • Update TGE telephone lists
  • Update all documents on the TGE library

Requirements

  • Excellent interpersonal skills
  • Ability to work on own initiative, under pressure, and to prioritise workload
  • Assertive, with good interpersonal skills

Experience, Knowledge, and Skills

  • IOSH qualification
  • Computer literate
  • Experience of document control
