Job Title: Finance Administrator

Location: London

Salary: £22,000 – £25,000 depending on experience

Hours: Full Time (Monday – Friday, 9am – 6pm)

Job role:

The Company is now recruiting a Finance Administrator to work alongside the Finance Director and Partners to provide support to the finance department.

The Finance Administrator will have a key role in the Company’s organisation and will provide support in relation to finance policies/procedures.

Key Responsibilities:

  • Process daily sales and purchase ledgers including the processing of invoices and payments/receipts, daily banking, credit control, supplier statement reconciliation, and dealing with supplier/customer enquiries
  • Prepare monthly accounts and reports including cash flow forecasts, fixed assets register, payroll analysis, aged creditors, balance sheet, P&L – pass to accountants
  • Manage and monitor company cash flow and plan spending accordingly
  • Manage bank accounts including UK accounts, international accounts, forex accounts, and undertake regular bank reconciliations
  • Ensure transfer of funds calculated correctly in appropriate currencies with sufficient funds for Sterling and Euro payments (e.g. partner commissions, international suppliers) and process partner payments promptly
  • Management of all income and expenditure processes including invoicing, incoming card payments, outgoing payments involving online payments, company credit cards, and expense compliance with HMRC
  • Prepare monthly payroll including calculation of salesmen commissions at appropriate exchange rate, basic salaries, expenses and any deductions
  • Prepare monthly LLP cross-charging invoices and submit LLP VAT returns to accountant for submission to HMRC
  • Manage company’s financial accounting, monitoring and reporting systems
  • Liaise with Marketing Department to produce marketing budgets, amending as income fluctuates
  • Liaise with Marketing Department to ensure best ROI for marketing/advertising campaigns, calculating costs per lead and producing monthly reports
  • Produce quarterly VAT returns and send to accountant for checking before submitting to HMRC
  • Liaise with accountants to ensure company accounts, tax returns and other statutory requirements are correct and submitted on time
  • Collate staff expenses, check items submitted and authorise where appropriate
  • Collate LLP expenses and submit to accountant where tax deductible
  • Develop external relationships with appropriate contacts, e.g. auditors, solicitors, bankers and statutory organisations such as the Inland Revenue
  • Ensure HMRC procedures for PAYE and statutory payments are complied with
  • Regularly update aged creditors and arrange payment plans where necessary
  • Producing accurate financial reports to specific deadlines
  • Budget and forecast production and management
  • Review, automate and standardise monthly and quarterly financial process where applicable
  • Undertake year-end procedures including preparation and distribution of P35s, P60s and P11Ds where applicable
  • Produce finance report for directors and data analysis and ad hoc reporting across the business
  • Analyse costs and look at ways of reducing company’s overheads
  • Keep abreast of changes in financial regulations and legislation

Key Skills & Requirements:

  • Must be fluent in French, both written and spoken
  • A minimum of four years hands-on experience working within a finance department
  • Degree-educated in finance admin or business discipline
  • Have a flare for numbers, work well with people and willing to work longer hours during peak periods
  • Experience in foreign currency and consolidations is mandatory
  • Advanced Excel skills (auditing, analysis, pivots, data tools, macros)
  • Strong verbal and written communication skills with excellent organizational and analytical abilities
  • Self-motivated to learn new concepts and participate in new projects
  • Excellent attention to detail and accuracy vital
