Job Title: Project Support Assistant (Housing IT Implementation Team)

Salary: £22,462 to £24,799 per annum

Job type: Full time, Fixed Term Contract (Until May 2021)

Job Purpose:

To provide high level comprehensive personal assistant service to project support assistant service to ICT Housing Project Team and Project Manager to enable them to perform their roles to maximum efficiency and effectiveness and maintaining confidentiality where necessary; ensuring that their offices are run efficiently and effectively, that all written correspondence, personal and telephone communications are dealt with in a timely manner in accordance with the Council’s Customer Standards.

Job Duties:

  • To anticipate and co-ordinate internal and external meeting requirements of the ICT Housing Project Team, including planning agendas, co-ordination of advance papers
  • To record actions at relevant meetings and follow-up to ensure delivery
  • To have primary responsibility for running and maintaining the office of the ICT Housing Project Team, prioritising tasks, to ensure the smooth administration of the office as a whole, encompassing all project support assistant duties
  • To initiate action on enquiries, follow up and complete, whether by telephone, correspondence or in person
  • To liaise with Elected Members, Directors, Heads of Service, external organisations, partners and public on behalf of the Project Manager
  • To execute the duties of the role in a professional manner having due regard to confidentiality and political issues
  • To undertake research and information gathering for the ICT Housing Project Team, analysing statistics and data, creating and developing draft presentations and speeches, as necessary
  • To book training courses, research travel and accommodation requirements and arrange hospitality and catering for the ICT Housing Project Team as necessary
  • To assist with and facilitating staff learning workshops and development sessions
  • To track progress of actions plans and project plans for the ICT Housing Project Team
  • To assist the ICT Housing Project Team at events and meetings as required – which could be out of hours i.e. evenings/weekends
  • To undertake other reasonable duties required by the Project Manager commensurate with the grade of the post

Key Requirements:

  • GCSE or equivalent qualifications in English and Mathematics or equivalent experience
  • RSA Stage II or equivalent typing/word processing qualification
  • Experience of providing PA and administrative support including
    • Developing and maintaining effective working relationships across all levels of management
    • Flexible management of competing priorities writing high-quality, accurate letters, reports and minutes
  • Computer literate with broad knowledge and experience of MS Office packages and a range of IT applications
  • Previous work in a role with similar responsibilities
  • Ability to communicate effectively both with external and internal customers
  • Ability to make informed decisions at an appropriate level to this post
  • Ability to work effectively as part of a team
