Job Title: Data Entry Clerk

Location: Office based – Fareham, Hampshire

Salary: £8.25 per hour

Job Type: Permanent, Part Time (Mon – Fri, hours to suit)

Job Role:

The Data Entry Clerk role is to support our clients and their staff at all levels who require assistance in understanding and maintaining up to date data for ADTs core services of risk assessments, grey fleet management, licence checking, online and in vehicle training for employees who drive on business for their company.

The position will involve support in a range of tasks including driver training, creation of permits to drive, managing email accounts for customers, validation of driving licences and supporting the fleet management area of the business.

Understanding of data confidentiality principles is mandatory as the company will rely on you to maintain a high level of accuracy.

Key Responsibilities

  • Transfer data from paper formats into computer files or database systems, using keyboard, data recorders or optical scanners
  • Enter alphabetic and numeric data from source documents, compare data entered with source documents, delete incorrectly entered data, and re-enter correct data
  • Type in data provided directly from customers via paper/telephone call
  • Retrieve data from database or electronic files as requested
  • Perform regular back ups to ensure data preservation
  • Validate training reports before issue to client
  • Handle enquiries and progress reporting which may require to be individually tailored to meet customer bespoke requirements
  • Coordinate own activities, manage and plan workload with minimal intervention from management
  • Work as part of a team to manage customers to complete and update ADT’s Risk Management system in order that ADT data is correct and concise and not compromised
  • Follow through on any commitments to customers

General

  • Flexible to adapt to change and to support the ADT team when workload volumes are excessive i.e. phone calls, emails, licence checks
  • Project a positive consistent image that reflects business core values i.e. integrity, trust
  • Ad hoc requests and exception reporting to meet client requirements
  • Be prepared to maintain records of own personal and training development for discussion at 1-1 meetings and performance reviews
  • Keep record of customer enquiries, communicating effectively to ensure colleagues and management updated and maintain quality controlled reporting and client information
  • Adhere to internal control activities i.e. reconciliations, approvals, business controls, compliance to data protection regulations and policies
  • If a problem arises assist with preparation of background information to address resolution of matter, work with management to support and resolve escalations
  • Responsible for ensuring up to date knowledge of system(s), seeks opportunities for professional growth, completes work efficiently, good attendance and timekeeping

  • Interact effectively with both colleagues and clients, be a good communicator with the ability to listen and think quickly in making a recommendation or solution to a customer problem
  • Take initiative to acquire new skills, ability to handle telephone calls and email queries professionally and able to hold own on matters of policy ensuring own actions are consistent with ADT business goals by making use of resources in solving problems
  • Ability to work under pressure, able to stay focused, plan and schedule in advance in order that work is completed efficiently, look to resolve problems using critical thinking in order that targets are met and maintain a high level of customer satisfaction
  • High level of computer literacy, attention to detail, operate a variety of technological tools ranging from internal systems to document management, office records, excel, word.
  • Reporting must be accurately maintained and as with all documentation comply to requirements of ISO27001 accreditation to hold data securely
